Workforce Data Upload Requirements
Providing accurate and well-structured data ensures your workforce is correctly classified, mapped, and analysed across workforce insights and technology impact scenarios.
Overview
Your workforce data upload supports two core purposes:
-
Workforce classification and organisational mapping
-
Technology impact analysis and scenario modelling
Some fields are essential for system operation and data synchronisation, while others directly influence the accuracy of Faethm’s workforce classification models. Optional fields allow for deeper and more granular analysis but are not required to upload data successfully.
File Format Requirements
Before uploading your data, ensure your file meets the following requirements:
-
File format: CSV
-
Maximum file size: 1024 MB
-
Column headers must be included in the first row
-
File encoding: ASCII or UTF-8
-
One row per employee
After upload, Faethm will generate a data quality report highlighting missing fields, errors, or limitations in the file
Required Fields for Workforce Classification
The following fields are required to upload and classify your workforce data. Visit the Glossary to understand more about each field.

| Job Family | Grouping of related jobs |
| Manager First Name | Manager’s first name |
| Manager Last Name | Manager’s last name |
| State or Province | State, region, or equivalent |

Additional Required Fields for Technology Impact Analysis
If you are using Faethm for technology impact or automation analysis, additional data is required.
| Field | Description |
|---|---|
| Country | Country where the role is located |
| FTE | Full-time equivalent value |
FTE guidelines:
-
Must be greater than 0 and no more than 1
-
Use numeric values only (for example: 1, 0.8, 0.6)
-
Calculate FTE by dividing weekly hours by 40
(e.g. 24 hours per week = 0.6 FTE)
Optional for More Granular Analysis for Technology Impact
These fields are optional but enable deeper workforce insights and segmentation.
| Field | Purpose |
|---|---|
| Gender | Gender-based analysis |
| Birth Year | Age-based analysis |
| Compensation | Compensation-based insights |
Notes:
-
Birth Year should be provided as a four-digit year only (e.g. 1985)
-
Compensation should be annualised, numeric, and consistent in currency
Which Fields Affect Model Accuracy?
Not all data fields influence Faethm’s workforce classification models equally. These fields have the greatest impact on how roles are classified:
-
Job Title
-
Organisation Layer 1
-
Organisation Layer 2
-
Organisation Layer 3 (most important of the three)
-
Industry (supplied by Faethm during organisation setup)
Providing clear, consistent, and meaningful values for these fields significantly improves classification accuracy.
Fields Used for System Syncing (Not Model Accuracy)
The following fields do not affect classification accuracy, but are critical for data integrity and system functionality:
-
Internal Employee ID
-
Email
-
Internal Manager ID
These fields ensure records are correctly linked, updated, and maintained across uploads.
Data Quality Best Practices
To ensure the best outcomes from your data upload:
-
Use consistent naming conventions for job titles and organisational layers
-
Avoid overly unique or internal-only job titles where possible
-
Ensure IDs are unique and correctly referenced
-
Populate Organisation Layer 3 wherever available, as it carries the most analytical weight
-
Validate required fields before upload to reduce errors in the data quality report
