Edit Occupation Tasks Guide

Edit Occupation Tasks page is where you fine-tune the specific task performed within an occupation.

After choosing an occupation to customize, this page gives you control over the full task list, granular task details, and the time distribution across a standard work week.

This is the most detailed level of customization in Workforce Customizer, allowing you to shape an occupation so it truly reflects how your teams operate day-to-day.

What this page shows

1. Total task hours and completion status

At the top of the page, you’ll see the total weekly hours allocated across all tasks. The system tracks whether the occupation’s tasks add up to a full 40-hour work week, helping you maintain a complete and realistic task profile.

2. Full task list

Every task in the occupation appears with:

  • Task description

  • Time allocation (hours and percentage)

  • An expand/collapse option to view granular task activities

  • Indicators where technology is associated with the task

Tasks are ordered from highest to lowest time allocation to help you quickly identify the major components of the role.

3. Granular task activities

Expanding a task reveals detailed sub-activities. These clarify what the task actually involves and can help you decide whether to keep it, replace it, or remove it.
Granular tasks may also include associated technologies.

This level of detail is especially helpful when assessing borderline tasks or deciding if a task better fits another occupation.

4. Technology filters

You can filter the task list to show only tasks that involve specific technologies. This helps when you’re exploring automation potential, reviewing task impacts, or building tech-sensitive occupation versions.

What you can do on this page

Add new tasks

Select “Add New Tasks” to search and add additional tasks from across the ontology. This is useful when your roles blend responsibilities or when the default occupation doesn’t cover everything your team does.

Remove tasks

If a task doesn’t apply to your workforce, you can remove it. Removed tasks can be restored if needed, ensuring you don’t lose information during experimentation.

Modify time allocations

You can adjust the hours or percentages for each task to reflect how your teams actually spend their time. The page will guide you to maintain a balanced weekly total, and you can also auto-adjust to re-distribute time evenly when adding or removing tasks by clicking the 'Auto-adjust total task time to 100%' button.

Work with granular task activities

Even though granular sub-activities are informational and not individually editable:

  • They help you validate whether a task truly belongs in the role

  • They reveal technology influences at a deeper level

  • They support decision-making about whether to split or merge tasks

Total Time Allocation Alert

Modals

Every occupation must add up to a full 40-hour work week (100%) before it can be saved. This ensures that your customized occupation accurately represents how time is distributed across tasks.

If the total time does not add up to 100%, Workforce Customizer will prevent you from saving and prompt you to adjust the allocations.

Manual Adjustment

You can set time for each task manually using either:

  • The slider, or

  • The hour and minute input fields

As you adjust a task, the updated time and percentage appear directly in the interface.
This allows you to fine-tune tasks based on how your teams actually spend their time.

Auto-Adjust Task Time

If your total time is under or over 40 hours, you can use Auto-adjust to rebalance the occupation instantly.

Auto-adjust will:

  • Recalculate all task times proportionally

  • Preserve each task’s relative ratio

  • Ensure the total allocation returns to 100%

This feature is especially helpful after adding or removing tasks, when the total time may suddenly drop below or exceed 100%.

A complete 40-hour profile ensures that:

  • Your time distribution reflects real operational priorities

  • Downstream insights (automation, time modeling, role redesign) remain accurate

  • Customized occupations remain consistent and comparable across your workforce

Time allocation is the backbone of accurate occupation modeling — and ensuring the total equals 100% keeps your custom occupation structurally sound.

Saving your customized tasks

Once your changes are complete, you can save the updated task list. The occupation will then reflect your revised tasks and time allocations, becoming the custom version you’ll apply to job titles in your workforce.

Saving locks in:

  • The final task list

  • All modifications to time allocation

  • Any added or removed tasks

  • The occupation’s complete 40-hour task structure

When to use this page

Use the Edit Occupation Tasks page when:

  • You need a precise representation of how time is actually spent

  • You want to tailor tasks before using downstream insights

  • Roles in your organization differ meaningfully from the ontology

  • You are preparing for role redesign, automation assessment, or workforce planning
